Process audit
AI for security companies
The roster gets written on Wednesday evening. On Friday somebody drops out and you spend two hours on the phone. On Monday the records for the site are missing. I do not know this from a brochure. I hold the German §34a security qualification and I have stood on site myself.
The finding
Where the time sits in the office
- Shift planning. Writing the first roster, then swap requests, then absences. Every change pulls phone calls behind it.
- Licence records and personnel files. Who has which training, when does what expire, where is the copy.
- Subcontractors. The same paperwork requested, checked and filed for every job, and from scratch again for the next one.
- Shift documentation. Guard book, incidents, handovers. Usually on paper, then typed up.
- Time recording and invoicing. Collect the sheets, transfer them, invoice the client.
- Quotes for event work. Nearly always the same structure, written from scratch every time.
The numbers
A typical calculation
This is what it looks like when you go through the tasks one by one instead of guessing. Your values come out of the call.
How I count it
Actual effort 10.5 h a week. Realistically 6.5 h of that can be won back.
An example built from typical values. Your numbers come out of the call, not out of a table.
The limits
What can be handed over, and what cannot
A tool can take over the first distribution of the roster by rule (qualification, rest periods, site requirements), reminders for expiring records, collecting and checking subcontractor paperwork, turning shift records into something searchable, the first draft of a quote.
It cannot take over the call at ten at night when somebody drops out. The decision which person goes to which site. The conversation with the client when something has gone wrong. Anyone who promises you otherwise has never worked a shift.
Why me
I know this trade from the inside
I have worked in site security, passed the §34a qualification before the Nuremberg Chamber of Commerce and hold my own security licence. I know what a post order is, why the guard book is kept and what happens when two people drop out on a Friday evening.
You do not have to explain the trade to me. That saves the first half hour of every conversation.
Common questions
- Does this work for a small firm with five people?
- Yes. The smaller the firm, the more the owner does personally, and that is usually where I find more than in a company with its own back office.
- We work a lot with subcontractors. Is that a problem?
- The opposite, it is often the biggest item. Collecting subcontractor paperwork and keeping it current regularly costs more time than your own roster.
- Do we have to replace our rostering software?
- Not necessarily. Often what you already have can be used better. The report says what stays and what is worth replacing.
