Process audit
AI for car workshops and dealers
The car is ready, but the text for the advert is not written. Three people have enquired and none of them has an answer. Last week’s complaint is still lying there. I worked three years at the Audi centre in Ingolstadt, in vehicle preparation and used cars.
The finding
Where the time sits in the office
- Vehicle records. Condition, equipment, photos, faults. From scratch for every car.
- Advert copy. The same phrases, typed again every time, and lifeless in the end anyway.
- Chasing up buyers. Who asked when, who replied, who dropped out.
- Complaints. Reconstruct the case, find the paperwork, write the answer.
- Appointments. Workshop slots, callbacks, courtesy cars.
- Estimates. Putting together items that have existed a hundred times already.
The numbers
A typical calculation
This is what it looks like when you go through the tasks one by one instead of guessing. Your values come out of the call.
How I count it
Actual effort 11.0 h a week. Realistically 6.5 h of that can be won back.
An example built from typical values. Your numbers come out of the call, not out of a table.
The limits
What can be handed over, and what cannot
A tool can take over the first draft of advert copy from vehicle data and photos, structured recording of condition, reminders to chase up with a message already prepared, pulling together every document belonging to one case, recurring items in an estimate.
It cannot take over the pricing decision. The conversation with the angry customer. The judgement whether to take a car in part exchange. That stays your work, it just should not happen at ten in the evening.
Why me
I know this trade from the inside
From 2012 to 2015 at the Audi centre in Ingolstadt and at GAP: vehicle preparation, used cars, key return at the service counter, on-site intake and checking of complaints, passed on for resolution.
I know what the yard looks like on a Monday morning and what stays on the desk.
Common questions
- We are an independent workshop, not a dealership. Does this fit?
- Yes. Independent workshops and valeting firms are in fact the more typical case, because there the foreman usually does the office work himself.
- We already use a workshop system.
- Good. Then this is not about replacing it but about the gaps around it: text, chasing up, complaints. That is where the time sits.
- Can vehicle texts be written automatically?
- The first draft yes, and very well. Approving and adjusting stays with you, but you no longer start in front of an empty box.
